USING MARCEDIT 3 May 2012
MarcEdit is a freeware MARC editor:

Diacritics go before the letter {grave}a {acute}e {circ}e etc, you can
type them or use the edit menu or F12 to get an ALA character set
insertion screen.
Use "$" as subfied demarker, e.g., 245 00 $a.
Save the file with the records in the MRK text file format, then from
the file menu, "make current records into marc".
If you copy and paste text containing diacritics, you will need to
delete the diacritics from the pasted text and replace them with the
MarcEdit equivalents. Pasted diacritics usually look fine in the text
version, but don't convert properly into MARC characters.
MarcEdit also goofs up apostrophes in pasted text, so you need to
delete these and press the apostrophe key on your keyboard.
After converting the file to MARC, some use MARC Breaker to convert it
back to text and make sure there were no character mapping problems.
In Marc Edit 4 (not 5) when you want to put in a letter with a
diacritic, you can hit F12 and a list of the diacritics will come up,
click on the one you want, then enter the letter, or, you can put in
the {} and the name of the diacritic (as defined by Marc Edit), You
can cut and paste the appropriate diacritic from one place in Marc
Edit to another. You cannot cut and past diacritics or apostrophes
over from any place else into the Marc Editor. If you ever cut and
paste anything with an apostrophe, replace it with one from the
keyboard directly into the editor.
When you double-click an .mrc file you get the marcbreaker window, give the
new file a name, process it and then choose edit records. This creates a
file of .mrk (marc text file) to edit.
MarcEdit has really useful find/replace, add fields, edit subfields
functions. Using this you can add the 990 with your initials to all
the records in one step or change the date in the O93 in all the
records in one step, add the CaBVnSL in 040.
In that case of the 093 you would find 060313 or whatever is there and
replace it with the new date string. If the 093 date varies, then you
could delete the 093 and then add an 093 back to all the records with
the full string GLCdocYYMMDD.
After your records are edited ... Do the field count report from the
reports menu, it just gives field counts but if you are supposed to
have 90 records but only have 88 990 fields then you know you have
something to fix.
(I'm presuming that you save periodically while you edit ;))
Then you make the file back into a marc .mrc file.
The last step before sending them is to use the MarcValidator on the
file, if you have a spacing error, or bad indicator, or are missing a
character in your LDR this will let you know about the errors, it does
not catch everything but it's helpful.

To use MARCEdit on your Mac, you can install the VirtualBox:
<http://www.virtualbox.org/>
which is open source free virtual machine (similar to the Parallels
and VMWare Fusion), then install the Windows onto the virtual machine.
Then you can use the MARCEdit in it.
If you can allocate 1GB ram to the virtual machine, your virtual
Windows XP should run very smoothly like a real PC on your Mac. So
your Mac better have at least 2 GB ram.

Creating and saving records in MarcEdit:
You open MarcEditor and start to create a record (as a text file). When you
are ready to save the file, you simply go to "File/Save as" on the task bar
and give the file a name with a .mrk extension. That is the MarcEdit file
extension for a TEXT file of which will be processed to be made into a true
MARC record. You create each record in the same file, each separated by a
blank line. Here follows a file containing 2 records as an example. They
should look something like this:

When you are ready to convert the records to a true MARC format, you should
use MarcMaker. It will ask you for the path and name of the .mrk file that
you have created and then the path and name of the .mrc file that you wish
to convert it into.
The spreadsheet, which I will send you shortly will be in .xls format. It
can be opened and read with Microsoft Excel or OpenOffice spreadsheet. If
you don't have MSExcel, OpenOffice is free to download from the Internet and
install on your computer.

Using MARCEdit for SLC
While most SKC cataloguers use TLC's ITS, some use MARCEdit.
MARCEdit is quite a challenge if you haven't used it before. There
were quite a few formatting errors in the 2 files. Whereas most MARC
editing software automatically compiles your work into MARC, with
MarcEdit you compose the coding using the Edit module in a text file
(with the extension .mrk) and then you must ask MarcMaker to compile
the file into true Marc (with the file extension .mrc). When you want
to read or edit a true Marc record you must first use MarcBreaker to
open the .mrc file in .mrk format. Then you can read and edit it. So
you should have compiled the files. You sent me text files, not Marc
files.
MARCEdit has a Validator feature which can help you check over your
files before compiling them. That can be quite helpful.
In MARCEdit the spacing of each line is really important, if you are
going to get a good compiled record. It should be =TAG [2 blank
spaces] [2 indicators]$a. Many lines had only 1 blank space which
would mess up the conversion into Marc.

If you have a .mrc file:
Open MarcEdit software.
Select MARC Tools from the StartPage
Browse to find your Input file (from within MARC tools) Browse for a
folder to save your Output File (which will be .mrk extension--can use
same folder as .mrc file) Select MarcBreaker radio button (default)
Click on the Execute button at the lower left When you see data in the
Results screen, select the Edit Records button (lower center)
To delete a field:
Use the Tools dropdown menu and select Add/Delete a field (also F7 on
your keyboard) Enter the MARC field you want to delete and, if
appropriate, the Field Data to match. For example: If you have a file
that has a '655 Electronic books.' field that you want to remove put
655 in the Field add the text of the 655 field you want removed, in
this case Electronic books. Select the Delete Field button. MarcEdit
will tell you how many field were added. Tell this dialogue box "ok"
To add a field:
Use the Tools dropdown menu and select Add/Delete a field (also F7 on
your keyboard) Enter the MARC field you want to add and the Field Data
you want in that field. For example:
If you have a file that needs a '655 Electronic books.' field put 655
in the Field add the content for the 655 field you want be sure to put
in indicators and subfield data before the text. In MarcEdit, \ =
[blank] for the indicators, and $ is the subfield delimiter
\0$aElectronic books. Select the Add Field button. MarcEdit will tell
you how many fields were added. Tell this dialogue box "ok"
When done, select the Close button. When done with all your edits,
select the File drop down menu and Compile File into MARC and save it
where you want it.
If you have .mrk files, you can go directly to MarcEditor from the StartPage, you do not need MarcBreaker. But to use these in any ILS I am familiar with you will still need to Compile File into MARC.
