Discussion:
batch "deletion" from OCLC

It seems to me this may have been discussed several years ago but I'm not sure ... We are withdrawing large batches of microfiche titles from our collection. Is there a way that we can detach our holdings symbol from the OCLC master records other than one-by-one? The records are already in a list (full bib. records) if that helps determine the next steps to take.
Thanks for any help!

If you can single out the OCLC 035 field you can use the batch process in
Connexion. Here's what I have (likely stolen from some other libraries'
documentation):

1. In Connexion - Click *Batch > Holdings by OCLC Number* and enter a
list of OCLC numbers or import a file of OCLC numbers.
2. Select an action and check or change the option to set holdings even
if item(s) are already owned.
3. Click *OK*. When the batch is completed, a report displays
immediately by default. Change the setting in *Tools > Options > Batch*.

I'd try it in a small batch of 5 or something to make sure you have the
process down before you do a large batch.

Hope this helps!

You could strip the OCLC numbers out into a text file using something like the free MARCedit, and batch delete holdings using "Holdings by OCLC number" under the Batch menu in Connexion. Never done it myself, though.

The procedure William outlines works is very quick to do.

Batch > Holdings by OCLC Number
Paste your list into the box
Select the Action you want, in your case Delete Holdings
Say OK
Connexion performs the actions in groups of 25 records, so depending on how big your list is, it may take a little while. If you have a really large number of records, you might consider breaking it out into smaller groups.

At the end, a report is generated showing each OCLC number and stating whether or not the Action performed was successful. If it was not successful, there is an explanation (No holdings on this record, Multiple local holdings on this record, etc.) The report can be printed, but to save it I wind up copying and pasting it into a Word document.

Hope this helps.

Yes, batch delete is only available in the client, which is one of the
reasons I am clinging to Connexion client with both hands ! Processing is
so much more efficient in batch mode.

What library system are you using?

Getting OCLC record numbers out of your local system is the big variable. For example, in III Millennium, you can use the Create Lists module to export just the OCLC record numbers from the MARC 001 field in a list of bib records. Other systems have other ways of doing things. You'll want to ask on the email list for whatever ILS you have, to find out the specifics for getting the OCLC record numbers out in batch.

Once you have that figured out, Connexion Client has a very easy process for batch deleting holdings from a text file of OCLC record numbers. See the Connexion Client section on "Batch set or delete holdings by OCLC control number" in the help files.
